AI & Automation Usage Policy

2. Permitted Use Cases

AI tools may be used in a supportive and assistive capacity across the following areas:

  • Client and internal communications (drafting, summarization, clarification)

  • Software development support and technical documentation

  • Solution design guidance and ideation

  • Research, analytics, and data interpretation

  • Process optimization and operational insights

AI tools are not used as standalone systems and do not replace human expertise or professional judgment.

3. Human Oversight and Accountability

All AI-assisted outputs are subject to human review, validation, and approval by .HUB professionals.
Final responsibility for decisions, recommendations, implementations, and outcomes remains exclusively with .HUB.

4. Data Protection & Confidentiality

.HUB applies reasonable technical and organizational safeguards when using AI tools:

  • Client confidential data, personal data, or regulated information is not intentionally shared with public AI systems unless explicitly authorized

  • AI usage is aligned with contractual obligations, applicable data protection laws, and platform policies (including HubSpot data governance principles)

  • Where required, data is anonymized, abstracted, or minimized before use

5. No Automated Decision-Making

AI tools are not used for fully automated decision-making, profiling, or actions that produce legal or material effects for clients.
All decisions impacting clients are made by human specialists.

6. Compliance & Risk Management

.HUB monitors AI usage to ensure alignment with:

  • SaaS security and compliance expectations

  • HubSpot ecosystem standards

  • Client contractual requirements

  • Applicable regulatory frameworks

AI tools are evaluated periodically for accuracy, reliability, and risk.

7. Policy Updates

This policy may be updated to reflect changes in technology, regulations, or internal practices. The latest version will always be available on the .HUB website.
